Why your Power BI reports don't agree

Most sales teams never planned their Power BI setup. Someone connected a CRM export, someone else added a sheet with ad spend, and a few months later there are dozens of reports showing different revenue for the same month. Sales managers stop trusting them and go back to emailing an analyst.

The tool is rarely the problem. What's missing is a data model that reflects how your business actually works: what counts as an opportunity, when a deal becomes revenue, how an account shared by two reps gets credited. Once those rules are written down in one place, Power BI is fast and everyone sees the same number.

Star-schema data model
Facts (opportunities, orders, sessions, campaign spend) kept apart from dimensions (accounts, reps, products, calendar). That is what makes filters behave as expected and keeps reports fast as data grows.
Well-defined DAX measures
Revenue, margin, weighted pipeline, win rate and cost per opportunity are defined once in the semantic model and reused by every report. Change a definition and it changes everywhere.
CRM, ERP and GA4 in one place
We land the data in a warehouse (BigQuery, Azure, Snowflake or Databricks, depending on your stack) and Power BI reads from there. GA4 data, for example, comes from its BigQuery export rather than manual downloads.
Row-level security (RLS)
Each rep sees their own accounts and pipeline, each regional manager their region, the sales director everything. We drive it from a permissions table and one dynamic rule based on who is signed in, not one role per person.
Reports people actually open
Each page supports a decision: the weekly pipeline review, campaign tracking, the end-of-quarter forecast. Fewer pages, each with the question it answers written at the top.
Refresh and distribution
Scheduled refresh, tidy workspaces and a Power BI app, so nobody works from an outdated copy of a .pbix file.

Row-level security in Power BI, done properly

RLS is the most requested feature and the one most often built badly. The usual pattern is one role per sales rep, maintained by hand, which breaks every time someone changes territory. We keep the assignment in a table (who sees which accounts or regions), ideally fed from the CRM itself, and filter with a single rule based on the signed-in user.

One detail many teams miss: RLS applies to people who consume content as viewers. Anyone with edit rights in the workspace sees all the data. So we review workspace roles as well as the rules in the model.

Before publishing, we test each role and check that a rep can't see another team's numbers.

Can you work on our existing Power BI reports?

Yes. The model can often be reorganized without throwing away reports your team already knows. We tell you what is worth keeping and what is not.

Do we need a data warehouse to use Power BI?

Not always to get started. But once you combine CRM, ERP, GA4 and ad platforms, a warehouse stops every report from doing its own transformations.

Can Power BI connect to HubSpot or Salesforce?

It can, but we usually bring CRM data into the warehouse and model it there, so Power BI and any other tool read the same version of the truth.

Do you also work with Microsoft Fabric?

Yes. If your company already runs on Microsoft, Fabric brings data preparation and Power BI onto one platform, and we help you decide whether it is worth it.

Do you only work with companies in Spain?

No. We are based in Madrid and work with teams across Europe.
